Quick recap

The webinar featured Mike Tota from Outcome Orbit AI, who discussed how inspectors can use AI to manage their office and automate back-office tasks. Mike explained that AI can handle phone calls, book appointments, follow up with clients and real estate agents, grow ticket sizes with add-on services, and manage invoicing and social media content. He demonstrated a live AI voice agent that could qualify leads and send booking links. Mike emphasized that AI should support inspectors, not replace their expertise, and that the system can be customized and transferred if a business is sold. He also addressed questions about integration with CRMs like Spectora, technical support, and cybersecurity measures. AJ concluded the session by announcing upcoming webinars, including a final CE session on the 25 standards and an 8-part series on the National Home Inspector Exam.

Summary

AI Office Management Webinar

AJ introduced a special Tuesday evening vendor webinar featuring Mike Tota from Outcome Orbit AI, who discussed using AI to manage office operations for inspectors. Mike explained how inspectors currently handle both inspections and back-office tasks, which creates a bottleneck limiting business growth. He outlined how an AI Office Manager solution could handle five key office functions including phone answering, appointment booking, realtor follow-ups, review management, and warranty reminders while inspectors focus on inspections.

Inspector Voice AI Solution Presentation

Mike presented a comprehensive AI solution for home inspectors called Inspector Voice, demonstrating how it can handle 24/7 call booking, lead qualification, and follow-up tasks. The system includes features like automated booking links, daily business briefings, and post-inspection follow-ups, with a special offer for InterNACHI members at $450 per month (regularly $500) with waived setup fees. The solution aims to handle routine business tasks while maintaining human control over inspection decisions and report signing, with ongoing monthly tuning sessions to improve the AI's capabilities based on user feedback and business needs.

AI System Transfer and Integration

Mike explained that AI systems can be transferred to new owners with documentation updates, and outlined the monthly fees for voice agents and AI office managers in the $500 range. He clarified that the systems can integrate with various CRMs like Spectora through API access, though compatibility depends on the specific CRM and subscription level. Mike emphasized that each system is custom-built for the company and can expand to handle functions like booking and scheduling, starting with basic operations and growing as needed.

AI in Inspection Technology Future

Mike discussed the future of AI in inspection technology, highlighting its growing adoption and efficiency in handling calls and tasks that previously required significant human intervention. He shared an example of how AI reduced a routine call process from 20 minutes to 5 minutes and noted that even older clients are becoming impressed with AI's efficiency. Mike also explained that AI can handle multiple call lines, scheduling, and text/emails, while emphasizing the importance of human validation in AI responses and the flexibility to turn the system on and off as needed.

AI Solutions and Support Discussion

AJ interviewed Mike about AI solutions, asking about warranties, technical support, system access, and cybersecurity measures. Mike explained that technical support is available through his business 24/7, warranty is limited liability based on the service offered, and access is restricted to himself and business employees with encryption and security protocols in place.
